When the template fits
The workflow is used when something is missing, damaged, late or causes another documented cost. A cost claim should not be created merely because a deposit exists.
Booking and documentation are different layers
Booking can happen by phone, email, your website or a separate service. Safe Standard keeps the agreement, terms, handover, return and any damage follow-up in the same case.
What to document
The required fields depend on the asset and rental. The following points are a practical checklist for this intent:
- Date and discovery
- Asset and component
- Actual deviation
- Comparison with handover evidence
- Photos and other evidence
- Repair, replacement or other cost
- Deposit already held
- Renter comment and status
Free backup documents in two languages
The app includes print-ready PDFs and editable ODT masters in Swedish and English. The language selector displays the correct version automatically.
How to use the template in practice
- Select Swedish or English in the app.
- Open or create a rental case.
- Complete the agreement and add custom terms when needed.
- Record handover and return with the same checklist.
- Create damage or cost documentation only after an actual deviation.
Practical tip: Record facts and cost first, then decide how the deposit is handled under the agreement and applicable rules.
Common mistakes to avoid
- Automatically keeping the full deposit
- Having no comparison with pre-rental condition
- Claiming an estimated cost without support
- Mixing normal wear with damage
Adapt it to the rules that apply
Safe Standard is a documentation tool, not legal advice, insurance or a payment service. You must check laws, permits, taxes, insurance and mandatory terms for the specific rental.
Swedish and English without choosing files manually
When Swedish is selected, the interface and PDF/ODT documents are Swedish. When English is selected, the corresponding English versions are used. The choice persists as you move between app pages.
Frequently asked questions
Is a deposit the same as a damage charge?
No. A deposit is security under agreed terms. A damage or cost claim needs factual and financial support.
Can I attach a receipt or quotation?
Yes. Refer to supporting material and keep it with the case.
How is normal wear recorded?
Record what existed before the rental and what changed, then assess whether the change is normal use or a deviation.
Is the damage invoice a legal judgment?
No. It is documented cost evidence and does not replace adjudication or legal advice.
